About the Role
We are seeking a trustworthy, detail-oriented, and proactive Executive Assistant to support one of our Directors across daily operations, documentation, scheduling, and coordination. The role requires strong organizational skills, excellent follow-up discipline, and hands-on comfort with AI tools, MS365, and advanced Excel.
The candidate should also be flexible in supporting the Director’s schedule, including occasional late hours or weekend work based on business needs.
Key Responsibilities
- Manage the Director’s calendar, travel plans, meetings, and day-to-day priorities.
- Prepare structured Minutes of Meetings (MoMs) with clear action items and timelines.
- Ensure timely follow-ups and co-ordination with internal and external stakeholders.
- Create presentations, reports, briefing notes, and documentation using authorized Ai and MS365 tools.
- Handle intermediate to advanced Excel tasks and basic data analysis.
- Manage professional and personal itineraries, bookings, and logistics.
- Coordinate meetings, reviews, communication flow, and documentation updates.
- Maintain the highest levels of confidentiality, discretion, and professionalism.
- Offer flexibility to support occasional extended hours or weekends, aligned to the Director’s schedule.
- Support additional administrative and coordination tasks as needed.
- Ability to use AI tools (ChatGPT, Copilot, Gemini, Notion AI, etc.) for research, drafting, insights, and workflow automation is a strong advantage.
